This Privacy Policy explains how Ellaire Manchester ("we", "us", "our") collects, uses, shares and protects your personal data when you visit www.ellairemanchester.com (the "Site"), place an order, or contact our customer service team.

We take your privacy seriously and process your personal data in accordance with the EU General Data Protection Regulation (GDPR) and the UK GDPR.

2. What personal data we collect

Information you give us

  • Identity and contact data: first and last name, email address, telephone number.
  • Order and delivery data: billing address, shipping address, order contents, order history.
  • Payment data: payment method and confirmation of payment. We never see or store your full card number, CVV or bank credentials — these are handled directly by our payment providers.
  • Communications data: the content of emails, contact-form submissions and customer service correspondence, including any photographs you send us.
  • Marketing data: your email address and preferences if you subscribe to our newsletter.

Information we collect automatically

  • Device and technical data: IP address, browser type and version, operating system, device type, screen resolution, language and time zone settings.
  • Usage data: pages viewed, products viewed, referring website, search terms used on the Site, time spent on pages, and the actions you take (such as adding an item to your basket).
  • Cookie data: information stored in cookies and similar technologies — see section 7.

We do not knowingly collect data from anyone under the age of 16, and we do not collect special categories of personal data (such as health, religious or biometric data).

Where we rely on legitimate interests, we have assessed that our interest in running a secure, functioning and improving online store does not override your rights and freedoms.

4. Who we share your data with

We do not sell your personal data. We share it only with the following categories of recipient, and only to the extent necessary:

  • E-commerce platform: Shopify Inc., which hosts our Site and processes orders on our behalf.
  • Payment providers: the payment processors that handle your transaction (for example card processors and digital wallet providers). They act as independent controllers of your payment data under their own privacy policies.
  • Fulfilment and logistics partners: our warehouse and shipping partners, and the delivery carriers responsible for getting your parcel to you. They receive your name, delivery address, telephone number and email address for delivery and tracking purposes.
  • Order tracking service: the tracking application integrated into our Site, which processes your order and tracking number to provide delivery updates.
  • Email and marketing platforms: the providers we use to send order notifications and, where you have consented, marketing emails.
  • Analytics and advertising providers: where you have consented to analytics or advertising cookies.
  • Professional advisers and authorities: accountants, auditors, legal advisers, and public authorities where we are legally required to disclose information.

All processors act on our documented instructions under a written data processing agreement.

5. International transfers

Some of our service providers are located outside the European Economic Area, including in the United States. Where personal data is transferred outside the EEA or the UK, we ensure an appropriate safeguard is in place — typically the European Commission's Standard Contractual Clauses (and the UK Addendum where applicable), or a transfer to a country covered by an adequacy decision.

6. How long we keep your data

  • Order and transaction records: 7 years, to comply with Dutch tax and accounting law.
  • Customer service correspondence: 3 years from the date of last contact.
  • Marketing data: until you unsubscribe, and for a further 12 months thereafter to honour your opt-out.
  • Cookie and analytics data: as set out in section 7, generally no longer than 24 months.

When data is no longer needed, it is deleted or irreversibly anonymised.

7. Cookies and similar technologies

Cookies are small text files placed on your device. We use:

  • Strictly necessary cookies — required for the Site to work: session management, your shopping basket, checkout, security and fraud prevention. These cannot be switched off.
  • Functional cookies — remember your preferences, such as language or currency.

Non-essential cookies are only placed with your consent. 8. Marketing communications

If you subscribe to our newsletter, we will send you occasional emails about new arrivals, restocks and offers. You can unsubscribe at any time using the link at the bottom of any marketing email, or by emailing info@ellairemanchester.com. Withdrawing consent does not affect transactional emails such as order confirmations and shipping notifications, which we must send in order to fulfil your order.

9. Your rights

Under the GDPR and UK GDPR you have the right to:

  • Access — obtain a copy of the personal data we hold about you.
  • Rectification — have inaccurate or incomplete data corrected.
  • Erasure — request deletion of your data where there is no overriding legal reason for us to keep it.
  • Restriction — ask us to limit how we use your data in certain circumstances.
  • Data portability — receive your data in a structured, machine-readable format, or have it transmitted to another controller.
  • Object — object to processing based on our legitimate interests, and to direct marketing at any time.
  • Withdraw consent — where processing is based on consent, withdraw it at any time without affecting the lawfulness of prior processing.
  • Not be subject to automated decision-making that produces legal or similarly significant effects. We do not carry out such automated decision-making.

To exercise any of these rights, email info@ellairemanchester.com. We will respond within one month. We may ask you to verify your identity before releasing data. Exercising your rights is free of charge unless a request is manifestly unfounded or excessive.

Our Site may contain links to third-party websites, plug-ins and applications. Clicking those links may allow third parties to collect data about you.
